About the Swatch Book

The Feedback Swatch Book is a free collection of email replies for the feedback every freelancer, designer, developer and writer eventually receives. Each phrase is filed as a colour swatch, with a shade name, a plain-English translation and a reply that is professional first and pointed second.

Who it's for

Anyone who works with clients and has ever stared at a message like “can we make it pop more?” wondering how to answer without losing the project or their patience.

How the replies are written

Every template follows the same pattern: acknowledge the request, ask one concrete question to turn vague feedback into something actionable, and restate the boundary (fee, revision rounds or timeline). They are starting points. Adjust the tone, add specifics from your own agreement and send them in your own voice.

A note on advice

These templates are general communication examples. They are not legal advice, and they do not replace a written contract. If a dispute involves a significant amount of money, get advice from a qualified professional.
